Data Retention Policy

After 30 days we drop the words and keep the economics. The text of a question and its answer is erased. What remains is the measurement taken from that exchange: which model answered, what it cost, how long it took, what category of request it was, and how the answer scored.

This is deliberate rather than a compromise. Everything we use conversation records for — moving work to a cheaper model, spotting repeated requests worth answering without an AI call, finding where a cheap model quietly underperforms — runs continuously against recent traffic. A rolling month is enough. Holding the words longer would add risk without adding capability.

Deletion is enforced by a scheduled job that runs every day. It clears text; it does not delete rows, because once the words are gone the remaining measurement holds no personal data.

Our clients' own systems. A client may keep their own copy of conversations in their own product, under their own policy and their own retention period. This policy governs the copy held in our systems.

AI model providers. The providers we send requests to operate their own retention practices under their own agreements, outside our control. They are listed in Subprocessors.

Business records. Account, billing, and security records are kept for as long as needed to run the business and to meet legal, tax, and accounting obligations.

A client may ask us to delete their conversation content before the 30days elapse, and we will do so for the records held in our systems. Requests go to [email protected]. Where a request concerns an individual whose data reached us through a client's assistant, we act on the client's instruction as described in the Data Processing Addendum.
